What BilledFlow is

BilledFlow is a tool offices in Nepal use to photograph paper bills, have AI extract the details, and export the results to Excel. This policy explains what data we collect through that process and what we do with it.

Data we collect

  • Account data: your email address and, if provided, your name, when your office admin adds you as a user.
  • Bill photos: images you or your teammates upload for extraction.
  • Extracted bill data: company name, amounts, dates, line items, and similar fields the AI reads from a bill.
  • Usage records: which user uploaded, edited, approved, or rejected a bill, and when, kept as an audit trail.
  • Contact form submissions: your name, email, and message, if you write to us.

How bill photos are handled

A photo is sent to Google's Vertex AI (Gemini) for extraction, then stored privately so you can review it against the extracted data. Once a bill is approved or rejected, the photo is deleted immediately and only the extracted data is kept. A bill that is never reviewed is automatically deleted, photo included, after 48 hours. We do not use your bill photos to train AI models.

Where data lives

Account data, extracted bill data, and photos (while they exist) are stored with Supabase. Extraction runs through Google Cloud Vertex AI. Email delivery (magic links, invitations, and replies to this contact form) runs through Resend. We do not sell your data, and we do not share it with advertisers.

Who can see your data

BilledFlow is multi-tenant: your office's data is isolated from every other office by database-level access rules. Within your office, staff see their own uploads; accountants and admins can see everything in the tenant. Platform administrators can access data only to operate and support the service.

Your choices

To correct or delete your account data, contact your office admin or write to us at billedflow@proton.me. An office admin can remove a user from Team settings at any time, which immediately revokes their access.

If this policy changes in a meaningful way, we will update the date at the top of this page.
